Create Custom Reports


  • Under the Reports menu on the top bar, select Account Pattern Custom Report Setup.
  • The Select Report Style dialog box will open. Click Choose to select the type of report you want to create. The report types are Account Listing and Matrix.
Account Listing Style was chosen in this example.

Account Listing Report

  • To select this style report, click theChoosebutton under Account Listing.

Note:  The account patterns shown here correspond to the New Jersey Flexible Chart of Accounts. Your pattern may not be the same if you are not using the NJ FCOA.

  • Click on the Accounts tab and enter the first account number, or pattern, in the space provided then click the Add -> button.
  • Inputting FF” in the first two spaces of the account pattern will make the report work for any fund.
  • ## and ** are optional prompts. When the report is run, the complete values will have to be inputted.
  • Regular expressions can be used by placing a check in the box labeled Is Regular Expression.

  • The report will sort the accounts by number.
  • Click the Values tab to choose the columns for your report. Add the columns with the sign reversed by clicking Add with sign -> flipped. You can reorder the columns, or remove them, with the buttons on the right.
  • Click on the Options tab. Here you can create sub-totals, insert page breaks, and select other report options.
  • The optional Sub-Total By Masks function will create subtotals for a series of accounts. This is accomplished by placing an “S” or series of S’s in the location of the accounts to be included in the subtotal.
  • Placing a checkmark in the Add to custom reports menu will make this report available on the Custom Reports menu.
  • Enter the Report Title in the space provided and click Save at the bottom of the dialog box.
  • Click Create New Report to finish.
Account Listing Report Example- An Appropriation Reserve Budget Trial Balance with no sub-accounts.
  • To edit the settings for an existing Account Listing report, select the report and make the changes as if you were creating a new report.
  • You can run a saved report by selecting it from the drop-down menu on the Account Pattern Custom Report Setup screen, or if you saved it to your custom reports, it would appear there as well.

Matrix Report

  • Click Choose under the Matrix report type.
  • Enter the first account number, or account pattern, and select the data for the report from the adjacent drop-down menu.
– Inputting FF in the first two spaces of the account pattern will make the report work for ANY fund. If you use this feature, you will be prompted for the fund when you run the report.
– The ## and ** are wildcard characters. If used in the Account Pattern, you will need to enter the values when the report is run.
  • Input the Title (Column title).
  • You can place a checkmark in the Flip Sign box, to change the sign of the value in the report column.
  • Repeat this procedure for each column on the report (maximum of 5 columns).
  • The Function section allows you to use formulas using the values in the data columns.
    • The third function allows you to place a checkmark in the box to prevent printing if the results of the formula = 0.
  • The Print Column of the Custom Report Designer lets you indicate whether to print the column, and (if so) determine the column’s position on the report.
  • To exclude account types by placing checkmarks in the appropriate box(es).
  • The Sub-Total By Masks (optional) feature will create subtotals for a series of accounts.
    This is accomplished by placing an “S” or series of S’s in the location of the accounts to be included in the subtotal. There are 2 subtotal masks available.
  • Placing a checkmark in the Add to custom reports menu box will save the report to the Custom Reports menu (must have a Report Title).
  • Call MSI for help to use the Must also match the following Regular Expression to be included
  • Input the Report Title.
  • Click on Save Report Setup.
